General Export tool

This tool allows you to export all visible items to html file, and then print it if you want (from your default Internet browser). If you want, you can choose a template different than default. Read more about this tool as well as templates.

Importing and exporting contacts

You can import contacts from CSV files (text files with comma or semicolon separated values), You must first select a folder (if you use them)

then go to file->import->contacts->csv and follow the instructions. You also have to tell the program about the meaning of every column (for example, that the first column is the first name etc...)

Import/export using native Total Organizer format

By using this tool, you can export and then import your data using native Total Organizer document format (with .organizer extension).

To export, click 'File | Export | Total Organizer document'. You have to set a path, and choose if you want to export 'all visible' items or the selected only. If you want, you can use the search tool ('tools | search' menu command) and then click 'export'.

To import, use 'File | Import | Total Organizer document'. Again, you have to set a path of source file. Then - you can choose between 'keep folders as they are in the source file' or 'import to current folder'. The problem is, that in the source document, there may be a completely different folder structure, and the question is - what to do about them? Choose first option, if you'd like to create them (if missing) in your currently open document. Choose second option if you want to import them to current folder (therefore, folders in source document are ignored).

Technical information

When you import data using Total Organizer document, you are actually 'synchronizing' (in one way). This is done thanks to GUID - unique identifiers. Every single item in Total Organizer has this unique id. Actually, they're 'globally' unique - that is there are no two identical GUIDs even in many different documents.

The synchronization is made based also on the item 'last modification date'. So, if during the 'import' procedure the program detects that a given item in document being imported already exist in current document, the item in current document is updated only if the imported item is newer.

An example: You export your contacts to another document. Then, you update one of those contacts in the exported document and add a few more contacts. Now - when you import back those data to Total Organizer - this one updated contact is imported plus those newly added - the rest of contacts (if they still exist in current document) won't be imported.
