Adding relations

That is, 'links' to other items (notes, tasks etc).

In the following screenshot "Relations" are located on the left. A few relations are detected and added automatically (like "John Smith" - contact), and one is added manually (the blue one - "A problem with..." - a note item).

To quickly understand what 'relations' are, you can for example create a new task named 'call John Smith' and then, if you have "John Smith" on your list of contacts - he will be listed on the 'relations' list automatically (if you can't see it, then click 'OK' and then open this new tasks again). This is because Total Organizer Pro automatically searches for matching items and lists them for you. They are displayed in grey. In the above screenshot, "John Smith" (contact) for example is automatically added.

Adding relations manually

But you can obviously add the relations manually. You can create relationships between any items. These can be people(contact) assigned to certain tasks, contacts related in any way to certain item, or any other kind of relation.

To do this, simply drag&drop any item (note, task) to the 'relations' window visible in every Item Edit box. So, you can add the hypothetical "John Smith" contact to the "call John Smith" task by yourself. Next time you open "call John Smith" you'll see "John Smith - contact" in the list of relations. In the above screenshot "a problem with my PC - description..." (note) is added manually (dark blue, with an arrow pointing to the right).

To remove a relation select it and press 'Delete'.

The "relations" window

Every time you create a new item (task, note etc.) or edit an existing one, you can see the 'relations' window on the right. First - your own (manually added) relations are visible, with arrow pointing to the right.

Below, "back relations" or "back links" are displayed, with green arrow pointing to the left. These are items having a relation with currently edited item. In other words, these are items pointing to current item. So, in the above example, when you added "John Smith" contact to the "call John Smith" task, if you will open "John Smith" contact you'll see the task in the list of "back-relations", because the Tasks "points" to the contact.

And finally, you can see the list of automatically detected relations. These are the most similar items - dynamically created every time you open a new or an existing item.

Adding links and attachments.

You can also drag&drop files to the 'relations' window. By default an attachment will be created (i.e. the file will be copied to the database). But you can also create links to files and folders - simply hold down 'Alt' while dragging&dropping (just like you create links to your desktop for example). You can also click the '+' button.

To remove an attachment or link, select it and press 'Delete' or click the '-' button.

Predefined files

After clicking the "+" button, you will see, among other commands, a few files - if you now click one of them, the file (e.g. MS Word document) will be added as an attachment, and opened for editing. To specify your own files, go to program's installation folder - and then open "file types" subfolder. Every file in this folder will be available from the menu.

Voice messages

You can record/edit voice message for current item by clicking 'voice' button. Windows Sound Recorder is in use, and the result files is added as the attachment. If you want to remove it, select "org_soundrecord" file attachment and press "-" button
